The Embassy of Sweden in Addis Ababa is responsible for Sweden’s relations with Ethiopia, Djibouti, IGAD, and the African Union (AU). The Embassy consists of five sections: Political, Commercial and Cultural Affairs; Bilateral Development Cooperation; Regional Development Cooperation; Migration; and Administrative and Consular Section.
The section for Administration and Consular Affairs gives administrative support to the entire Embassy consisting of 21 expatriate staff and more than 36 locally employed staff.
The Consular and Administrative Officer will assist in the consular and administration areas.
RESPONSIBILITIES/JOB DESCRIPTION
- Contact with and answering inquiries from Swedish and national authorities as well as from the public; Being the point of contact for telephone calls, emails and public enquiries to the Embassy and to the consular area,
- Support to emergency consular services and ensuring the provision of accurate and timely information on consular services, visas etc,
- Monitoring and keep records of all the incoming and outgoing requests related to the consular field,
- Processing of passport applications and other consular certificates,
- Handling consular matters (for example, imprisonment, cases of death, citizens in distress, illness as well as maternity and paternity cases), attending and reporting on court hearings, prison, and hospital visits, etc.,
- Assist in any other relevant administrative issues at the embassy, for example import and export permits, housing, properties, archiving, visas, etc.,
- Being a second-hand responsible person at the reception of the Embassy,
- Provide any other support requested by the Head of Section,
- Other related duties as required.
QUALIFICATIONS AND WORK EXPERIENCES
Required qualifications
- Documented relevant academic degree, Bachelor or equivalent,
- Fluency inEnglish(both oral and written),
- Relevant experience and knowledge in the field of public administration and/or experience from embassy work and/or international organizations,
- Minimum of a 2nd grade Driver’s license
Required work experience
- A minimum of 2 years of relevant work experience.
Additional qualifications considered as merits are:
- Experience of working with consular and administrative related issues
- Knowledge of Office and email tools are a must, as well are discretion and the ability to work in a team
Skills
- Excellent interpersonal skills, empathy, and sound judgement.
- Strong organizational skills and ability to work well under pressure.
- Proven skills in communication
- Being a team-player, both internally and externally, with good communication skills.
